Frequently Asked Questions
Frequently asked questions about international trade fair shipping
International exhibition logistics is the planning and movement of products, samples, brochures, stand materials, promotional items and eligible equipment to an exhibition venue before the event. It may also include venue delivery coordination, return transport after the event or onward shipping to another destination. Turkbox reviews exhibition transport needs to and from Turkey based on the cargo type, exhibition dates, delivery requirements and customs conditions.
Yes. We can review transport requests for exhibition materials collected from your office, warehouse or another agreed address abroad and delivered to a trade fair venue in Turkey. To assess the available option, please share the exhibition name, venue, delivery deadline, number of packages or pallets, dimensions, weight and customs status of the goods.
Yes. We can review transport options for products, samples, brochures, stand materials, promotional items and eligible equipment collected from your office, warehouse, factory or another address in Turkey and shipped to an exhibition abroad. The planning depends on the exhibition schedule, destination country, transport mode, cargo details and required documentation.
Delivery to the exhibition venue, official freight forwarder warehouse or, where permitted, directly to the stand depends on the organiser's delivery rules, vehicle access, unloading schedule and appointment requirements. Please share the exhibition name, hall and stand number, organiser logistics manual and required delivery window so we can review the suitable delivery arrangement.
Most exhibition venues have specific delivery windows before the build-up or installation period. Please share the event dates, build-up schedule, delivery window and organiser's freight rules as early as possible. Transit time and delivery planning depend on the origin, transport mode, customs process, cargo type and venue acceptance schedule. Delivering exhibition goods before the build-up deadline is a key part of exhibition logistics planning.
Required documents vary depending on whether the shipment is temporary or permanent, the item type, destination country and exhibition organiser requirements. Documents may include: pro forma or commercial invoice; detailed packing list; package dimensions and weights; item descriptions, values and serial numbers where relevant; transport document; exhibition participation confirmation or organiser confirmation; ATA Carnet or temporary import/export documents when required. Turkbox can advise on the information needed for shipment planning. Final document requirements depend on the relevant customs rules, organiser requirements and shipment type.
An ATA Carnet is an international customs document used in certain temporary import/export situations. It can support the temporary movement of exhibition goods, commercial samples and professional equipment between participating countries. An ATA Carnet is not required for every exhibition shipment. Whether it is needed depends on the destination, item type, temporary or permanent status of the goods and customs procedure. Temporarily exported or imported goods may need to be returned or re-exported after the event.
Yes. We can review return transport for products, samples, stand materials, brochures, promotional items and eligible equipment after the exhibition. Materials can be sent back to your office, warehouse, hotel or another agreed address in Turkey or abroad. Please let us know about return shipping before the exhibition starts. This is especially important for temporary import/export or ATA Carnet shipments, where re-export and documentation may be required.
For suitable shipments, we can review onward shipping from the exhibition venue to another country, your next exhibition, office, warehouse or another agreed address instead of returning the goods to Turkey. The available option depends on customs status, destination, event timetable, carrier conditions and required documentation. Planning the after-show route before the event helps avoid delays.
Subject to review, we can plan transport for: products and merchandise for display; product samples; brochures, catalogues and printed materials; roll-ups, banners, displays and promotional items; small equipment, screens and demo units; boxes, packages and suitable personal exhibition items. Large stand systems, heavy machinery, dangerous goods, temperature-sensitive products, high-value items and cargo requiring special permits are reviewed separately.
Pricing depends on the pickup and delivery countries/cities, exhibition venue, number of packages or pallets, dimensions and weight, cargo type, transport mode, delivery deadline, customs status, venue-related services and any return transport requirement. For a clear quote, please share the exhibition name and dates, pickup point, delivery location, package details, cargo type and the organiser's logistics manual if available.
We recommend contacting us as early as possible. Venue delivery windows, build-up schedules, vehicle access rules and international transport/customs procedures can limit last-minute options or increase costs. The required lead time depends on the exhibition location, transport mode, cargo type and organiser requirements. Sharing the exhibition name and dates early helps us review the most suitable transport plan. Air, road and sea freight may each require different booking and arrival lead times.
